Access and Use of Campus Facilities 
Campus Building hours vary by building and department. Students are not allowed unrestricted access to buildings after business hours or when the College is academically closed (Summer). Students must have permission from a faculty or staff  member to be considered for after hours access. Arrangements with Campus Safety & Wellbeing will need to be made to grant access. Some buildings do require after hours credentials and/or special instructions prior to use.

Faculty or staff  looking to grant access for a student should notify campus safety and wellbeingthat permission has been requested for the student, including the approved date(s) and time(s) for which access has been approved. Sponsoring Faculty or Staff should not give building keys to students for ease of access. Effective management of physical door security at Hampshire College is essential to support academic activities, research endeavors, and residential and campus operations.

Access to campus buildings over the summer does not guarantee housing for students over the summer as residences are closed. Specifically, Hampshire College students may not have access to the following services during the summer: media services, TV studio and editing facilities, Dining Services, Health & Counseling Services, student activities, and more. 

Restricted and Hazardous Areas
For your safety and the protection of campus infrastructure, students are not permitted to enter restricted areas such as mechanical rooms, rooftops, fenced utility enclosures, or confined spaces like sewer drains and utility crawl spaces. These spaces are intended only for trained professionals.

Hampshire’s campus includes over 800 acres of both developed and undeveloped land. While students are welcome to explore, it's important to know that not all areas are regularly maintained. Some spaces are intentionally left in a natural state and may present hazards. Please use good judgment and exercise caution in less developed or frequented parts of campus.

Maintenance and Scheduled Repairs

Maintenance
Asset Essentials is Hampshire College's maintenance management system. This service allows you to submit repair requests to our Facilities and Grounds Department for any space owned by Hampshire College. https://www.hampshire.edu/offices/finance/departments/facilities-and-grounds/work-order-procedure

Requesting maintenance service in your room or mod authorizes a Facilities and Grounds employee to enter the area you specify. Once Facilities and Grounds arrive for a work order they will knock on the door several times. If no one answers the door, Facilities and Grounds employees will key into the space, announce themselves, and complete the task. You do not need to be present for the repair work to be done. Facilities employees do not work in a student's room or in the general mod before 9 a.m. unless there are special reasons for doing so.

Pest control work orders are performed on Tuesdays as a standing appointment. Work orders submitted on Tuesday will be considered a following week's request, not the same day.

Scheduled Repairs
Larger repairs will  be scheduled and the logistics of that repair  may cause some inconvenience. Residential Life will work with students to coordinate repair plans through  Facilities and Grounds. You should expect a 48- 72 hour notice to  be given prior to scheduled repairs unless there is an emergency.

Alterations to Campus
No employee, student, or contractor is authorized to make any alterations to campus facilities or grounds. This policy applies to all properties owned, operated, leased, or stewarded by Hampshire College, including undeveloped, wooded, farm, or vacant land. Hampshire College Facilities and Grounds is obligated to adhere to local, state, and federal building codes and legal requirements and we kindly ask you to refrain from any behaviors that you are not authorized by the College.

Project Review, Approval and Removal
Projects that may impact the physical campus, pose a health, safety or environmental hazard, or otherwise increase the College’s institutional risk require review and approval by applicable campus offices. Please visit the community project approval HampEngage page to view the project review process. Examples of projects requiring approval: installations of art or other structures on campus (other than gallery approved exhibits), creating new garden space, and performances in other than regular theater spaces.  

Installations, art works, posters, writings, and other projects that have not been approved through the community project approval process may be removed by the College at any time.

Building and Roof Access
Students may not access buildings after closing hours (hours vary per building). Should a student have permission to access a building after closing hours, campus safety & wellbeing should be contacted to grant access. Students are not permitted on roofs except as necessary for emergency evacuation.

Sewers and Underground Electrical Conduits
Students may not access sewers and underground electrical conduits on the Hampshire College campus. Due to OSHA policies and safety concerns, students are not permitted to enter these spaces and only trained and qualified College staff and contracted third party vendors are authorized to enter sewers and underground electrical conduits.

Summer Access to Campus Facilities and Grounds
Students may visit campus offices during summer business hours following the office’s procedures for appointments or drop-ins. Students wishing to access academic spaces at any time during the summer need permission of the faculty overseeing their work. Students wanting access to other campus facilities at any time, or campus grounds outside of business hours need authorization from the appropriate office or department in advance. Offices granting access should notify campus safety and wellbeing that permission has been granted for the student, including the approved date(s) and time(s) for which access has been approved. Hampshire does not provide guaranteed housing for students over the summer as residences are closed.

Access to Five College Physical and Recreational Facilities
Physical and recreational facilities at each of the Five Colleges are available year-round to Five College students only if they are registered in a physical education class at that college. These classes will be arranged through administrators of each program and limited to class time only. Arrangements for fee-funded courses and use of special facilities such as ice rinks, swimming pools, stables, and tennis courts will be made through the proper authorities at each school, and the rules and regulations for use will be determined by the host school.

Camping
Camping on Hampshire College property is not allowed without the express written permission of the assistant director of campus safety and wellbeing. Those allowed to camp on College property must have proper working knowledge of, and training from, the Hampshire College Environmental Health and Safety Director. Individuals are responsible for providing all necessary fire and personal safety equipment that may be required by the College.

Hammocks and Clotheslines
Students are welcome to use hammocks and temporary clotheslines for personal use, however, these items must be taken down after each use. When left unattended, they can pose safety hazards to others and may obstruct access to shared outdoor or residential spaces. To support community safety and the responsible use of outdoor areas, items left up for extended periods may be removed by Facilities and Grounds staff.

Chalking Policy
Chalking is permitted on any outside ground surface that is exposed to the elements (i.e. horizontal walking surfaces that rain and snow fall on). Chalking is prohibited inside campus buildings and outside on non-ground surfaces including, but not limited to, walls and windows of campus buildings, signs, trees, poles, and other structures. The College reserves the right to remove chalking that is not related to college sponsored activities or events or that are deemed to cause harm to the community or community members.

Postering Policy
Posters are permitted only on bulletin boards not designated for other purposes. Students are encouraged to use the bulletin boards under the walkway along the west wall of Franklin Patterson Hall and the north wall of the Harold F. Johnson Library Center, underneath the bridge, and in the RW Kern Center vestibule.

Posters placed anywhere but on designated bulletin boards may be removed regardless of content. Students are expected to remove posters after an advertised event has taken place. Facilities and Grounds will periodically remove outdated posters. The College reserves the right to remove any posters that are not related to college sponsored activities or events or that are deemed to cause harm to the community or community members.

Keys and One Cards
Students are issued keys or ID card access based on their residential needs.. Keys and access cards are the property of Hampshire College and may not be duplicated or shared. Students are responsible for the safekeeping of issued keys and access cards. Lost keys must be reported immediately to the Housing Office; a replacement fee may be assessed, and rekeying of affected spaces may be required. Card access issues should be reported to Campus Safety and Wellbeing.

Outdoor Spaces and Furniture
College provided furniture must remain in its designated room or common area and may not be moved, stored elsewhere, or used outdoors without prior written approval from Facilities and Grounds. Lost, stolen, damaged, or missing furniture may result in charges to the responsible student(s), assessed through Housing.

Students are encouraged to use the established pavilions and designated outdoor seating areas provided by the College. Informal outdoor setups that interfere with groundskeeping or maintenance,  such as self-installed seating, tables, patios, gardens, or fencing, are not permitted. College owned furniture that has been relocated, as well as any unauthorized items brought to campus, may be removed without notice. Students may be held responsible for any associated costs, including repair, removal, or reinstallation.

Abandoned Property
To maintain shared spaces that are clean, safe, and accessible to all, students are expected to take personal belongings with them after using communal areas including but not limited to outdoor quads, pavilions, lounges, study areas, and laundry rooms.
Items left unattended in shared spaces may be considered abandoned. Facilities and Grounds  staff may remove and dispose at their discretion.
The College is not responsible for the loss, theft, or damage of items left in communal areas. Students are encouraged to label personal items and store them in their assigned rooms or designated storage areas.

Property Damage
All damage to campus facilities, grounds, or other college property, whether accidental or intentional, should be reported to Facilities and Grounds using the Asset Essentials work order system as soon as it is noticed. Prompt reporting helps maintain safe and functional spaces and may prevent further issues. Students may be held financially responsible for damage resulting from misuse, negligence, or unauthorized use.
Property damage includes, but is not limited to, physical damage to buildings, infrastructure, and grounds. It is important to note that this includes damage caused by improper vehicle use such as driving or parking on lawns or other non-designated areas.

Respectful Use of Campus and Environmental Stewardship
Hampshire College is a shared living and learning environment, and the respectful use of campus spaces is essential to community, sustainability, and collective responsibility. All students are expected to take an active role in maintaining the cleanliness, safety, and accessibility of the College’s facilities, both indoors and outdoors.

The College encourages a culture of environmental stewardship in which students are mindful of consumption and work to reduce waste, reuse materials when possible, and recycle appropriately. This expectation extends to everyday use of space, as well as move-in and move-out periods, events, and personal projects.

Students should dispose of waste properly using the designated bins for trash, recycling, and compost that are available throughout Campus. Failure to do so may contribute to pest control issues and environmental harm.

Campus trails, wooded areas, fields, and farm space, are integral to the Hampshire experience. These areas must be treated with respect and care. Students are expected to avoid littering, disturbing wildlife, or altering the landscape without prior approval. Unregistered campfires, unsanctioned structures, and damage to trees or vegetation is not permitted.

Environmental responsibility is a shared value at Hampshire College. As members of this community, students are asked to support efforts that sustain the physical campus and the ecosystems it inhabits, ensuring that these shared resources remain vibrant and available to all.
